Terms & Conditions

These are the Terms and Conditions that apply to all current bookings, regardless of the date of payment. Please read them carefully as you will be bound by them.

 

By making a booking with GWFF Retreats, you accept these Terms and Conditions. A booking is accepted and becomes definite once you make a payment and we send you a confirmation email. Even after this initial confirmation, there may be changes to your booking. GWFF Retreats reserves the right to increase or decrease trip prices. GWFF Retreats reserves the right to change or update these terms and conditions at any time and without advance notice.

Minimum age

The minimum age for attending any retreat with us is 18.

Indemnity

You agree to fully indemnify without limitation any trainer(s), director(s) or contractor(s) against any injury, malpractice, mishap, or accident during any and all interactions with the Company away from, or at the primary place of business for the GWFF Retreat.

 

Travel Insurance

It is your responsibility to organise suitable travel and health insurance. You acknowledge that GWFF is not in the business of providing insurance products and cannot be held liable if your failure to arrange suitable insurance coverage leaves you exposed, medically, financially or otherwise.

 

Please note, even if you have private health insurance in your Country of Residence, it is unlikely that this insurance will cover overseas trips such as the retreats offered by GWFF.

 

Travel Cancellation Insurance

It is your responsibility to organise suitable travel and health insurance. You acknowledge that GWFF is not in the business of providing insurance products and cannot be held liable. Depending on the policy and conditions, travel cancellation insurance may pay for some or all costs associated with cancelling a booking. We strongly advise that you purchase this.

Cancellations

It is your responsibility to read and understand our cancellation policy before making a reservation. Naturally, no one books with the intention of cancelling or postponing their trip, but unexpected things do happen, so please consider purchasing travel cancellation insurance. 

 

Late Arrivals/Early Departures

We do not offer credit for arriving late to our retreat or departing early

Third Parties

GWFF holds no responsibility for the actions or omissions of third parties or independent contractors, including in the event that they modify the nature of a service on an retreat as compared with the advertised nature of the service.

 

Further, GWFF accepts no responsibility for delayed, missed or cancelled flights, buses, ferries, transfers, or any other modes of transportation required by You to get to Your accommodation, or any other activity or event in connection with or relating to Your retreat. 

 

General Waiver

You agree to sign a waiver form with GWFF at least 30 days before your retreat start date.

You acknowledge that during any of GWFF retreat you participate voluntarily in any and all activities arranged by the retreat organisers, and insofar as is legally permissible, you surrender your right to any cause of action against GWFF, their agents, contractor’s, employee’s and directors, arising from any loss or damage to any person or property that occurs during retreat up to and including death.

 

This agreement, and any dispute, or claim of whatever nature arising out of or in any way relating to this policy agreement or its formation, shall be governed by and construed in accordance with English law.

 

Passports, Visas and Documents

It is the responsibility of each participant to obtain a valid passport, visa(s) and necessary certificates for any country to be visited in connection with any GWFF retreat.

Pricing

All retreat prices are quoted and payable in GBP. GWFF Retreats is not responsible for any fees incurred due to currency exchange or fees charged by your credit card/bank for processing funds in another currency.

Payment Schedule

You may secure your spot in a retreat with a deposit until the “Balance Due Date” as listed in the table below. If you make a new booking after the Balance Due Date, full payment is required to secure your spot (if any are still available). Full payment of the retreat package price is due by the Balance Due Date indicated for each trip.

After booking your retreat with a payment (deposit), you will receive a booking confirmation email. Confirmation of your participation does not necessarily mean that your trip is confirmed to depart as scheduled. Retreats are typically confirmed to proceed as scheduled by the Balance Due Date specific to that retreat. If your balance payment is not received by the Balance Due Date, your deposit is forfeited and your booking is cancelled.

Health + Fitness

Most of our retreats should not be overly strenuous for people who are healthy and reasonably fit. You are expected to carry your own luggage and supplies throughout the day (water, snacks, additional clothes). If you are affected by any condition, medical or otherwise, that might affect your or other people’s enjoyment of the trip, you must advise us of this at the time of booking. If your health or fitness changes between the time of booking and the trip departure date, you must notify us retreat@gwfunctionalfitness.com of these changes before the trip starts.

 

Photography

In the course of participation in a retreat, photos or video may be taken by participants, your retreat leader or guides. These images may be used in any GWFF materials, website, social media platforms such as Facebook, Instagram, Twitter etc..., unless you specifically request that we not use any material in which your image is depicted. Otherwise, you agree to allow us to perpetual, royalty-free, worldwide, irrevocable license to use such images for publicity and promotional purposes.

 

Claims + Complaints

If you have a complaint, please first inform the Retreat Leader or guide at the earliest opportunity to allow the grievance to be rectified. If satisfaction is not reached, contact us retreat@gwfunctionalfitness.com while on retreat in order to give us the opportunity to rectify the matter. Failure to indicate dissatisfaction during the retreat will result in your ability to claim compensation from us being extinguished or at least reduced. If satisfaction is still not reached through these means on retreat then any further complaint must be put in writing us within 15 days of the end of the trip.

Non-Responsibility 

Tours, transportation, sightseeing, housing, and all other services associated with this trip are organised by GWFF and its employees, shareholders, agents, and representatives using third party providers. As an independent contractor, GWFF works for none of these vendors as an employee, agent, or representative. No conveyance, car, aeroplane, hotel, restaurant, or other business that provides services relating to your trip is owned, managed, operated, supervised, or controlled by GWFF. All vendors are free-standing businesses, not agents, employees, or representatives of GWFF. By accepting the coupons, vouchers, and tickets, or using the services, all travellers agree that neither GWFF, its employees, agents, or representatives are or may be liable for any loss, injury, or damage to any trip traveller or their belongings, or otherwise, in connection with any service supplied or not supplied that results directly or indirectly from the use of any service. GWFF shall be released from any obligations under these terms and conditions in the event of any strike, labour dispute, act of God or of government, fire, war, whether declared or not, terrorism, insurrection, riot, or other similar event. GWFF further assumes no responsibility or liability for any delay, change in schedule, loss, injury or damage or loss of any traveller that may result from any act or omission on the part of others. GWFF disclaims any liability for lost or stolen property. GWFF retains the right, in its sole discretion, to reject any traveller or potential traveller. 

 

Assumption of Risk/Waiver

The traveller is aware that exploring the place they are on their journey may come with inherent hazards, some of which may be present in remote areas. The inherent risks of travel include, but are not limited to, the possibility of suffering harm or passing away as a result of: motor vehicle collisions with other vehicles or animals; road hazards; slips and falls; criminal or terrorist activity; government actions; consumption of tainted food or non-potable water; exposure to the elements, such as heat, cold, sun, water, and wind; your own negligence and/or the negligence of others, such as tour guides or other travellers. GWFF and its employees, agents and/or representatives; attack by or encounter with insects, reptiles, and/or animals; accidents or illness occurring in remote places where there are no available medical services; fatigue, chill, overheating, and/or dizziness,; known or unknown medical conditions, physical excursion for which you are not prepared or other such accidents; the negligence or lack of adequate training of any third-party providers who seek to assist with medical or other help either before or after injuries have occurred; accident or illness without access to means of rapid evacuation or availability of medical supplies or services; and the adequacy of medical attention once provided. Traveler understands the description of these risks is not complete and that unknown or unanticipated risks may result in injury, illness, or death.  In order to partake of the enjoyment and excitement of this trip, traveler is willing to accept the risks and uncertainty involved as being an integral part of travel, including the risk of infection, illness, and death. Traveller hereby agrees to hold harmless and release GWFF, and its employees, shareholders, agents, and representatives (collectively, GWFF) from any and all claims related to the trip, including any claims of third-party negligence and/or RWR's negligence. Traveller hereby agreements not to sue GWFF for any such claims or join any legal action. Your assigns, heirs, and legal agents are likewise bound by this agreement. No matter how this Contract is terminated or cancelled, whether by operation of law or otherwise, the conditions of this HOLD HARMLESS AND RELEASE OF ALL LIABILITY paragraph will remain in effect.
